Specific Purpose
The organization, Data Solutions, is a Brisbane based company which holds offices in both Melbourne and Sydney. However, the organization is facing different internal communication related issues, which is affecting the productivity of the business while operating in the international businesses. The communication related issues has also affected the profitability of the business and its relative expansion. The objective of undertaking the memo is to make the relevant stakeholders aware of the different internal communication issues that are faced by the business. On the other hand, the memo will also be aiming to resolve the issues that are faced by the people and the organization due to lack of proper communication within the internal departments.
The specific purpose of undertaking the memo is to identify the internal communication related issues and thereby addressing the same to make the relevant stakeholders of the organization aware of the situation. It will be helping the organization in curbing out the issues and thereby maximize the communication to facilitate the profitability of the firm. The proposed recommendations will be helping the organization to integrate the different departments through facilitating communication within the systems.
The general purpose of undertaking the memo is to identify the different issues that are faced by the business relating to the lack of proper internal communication medium. It has affected the proper functioning of the business. Therefore, the memo is designed to make the relevant stakeholders aware of the change that might be undertaken by the organization to facilitate the internal communications. The internal communications of the organization will be helping the same in maintaining the efficacy of the business operations (Zerfass & Franke, 2013).
The business is facing issues relating to the lack of proper internal communication even though the external marketing and promotions has helped the firm in maintaining the competitive advantage of the same while operating as per the market demands. The lack of proper internal communication within the various departments has affected the integrative and collaborative actions of the workforce, which would have helped the organization in excelling. therefore, the CEO of the organization planned to create a memo to make the relevant stakeholders aware of the issues that are faced by the business due to the lack of proper internal communication channels in the systems.

The communication gap that is found between the hierarchy of management and the workforce of the organization has deliberately affected the productivity of the employees. The untimely communication and the delays have affected the functioning of the employees as per the proposed objectives of the business (Razmerita, Kirchner & Nielsen, 2016). The scheduling f the functions that are undertaken by the workforce is affected through the untimed communication from the executives. It has affected the general workflow of the business.

The quality of the work that is undertaken by the workforce is degraded through the untimed communication as the major updates of the change in the processes of the business are lagged due to the untimed communication (Christensen & Cornelissen, 2013). On the other hand, the lack of proper communication tool between the management of the organization and the employees has affected the organization’s identification of the different issues that are faced by the employees.

The workload is compromised when the organizational and departmental supervisors hold different offices from the employees. The lenience in the work pressure affected the productivity rates of the organization adversely. The productivity of the workforce is again dependent on the leadership roles played by the supervisor of motivating and integrating the workforce (Yuan et al., 2013). Lack of proper communication between the supervisor and the employees due to the distance has affected the proper functioning of the systems and operations.

The distance that is created due to the situation of the different offices of the supervisors and the employees has affected the monitoring aspect that is undertaken by the leaders. On the other hand, the absence of supervisors has affected the monitoring aspects, which has affected the work quality of the employees (Treem & Leonardi, 2013).
Quantitative significance
The unprofessional mailing system of the organization has resulted to the communication blockage within the internal structures. It has affected the knowledge management of the organization while operating on the objectives of the business. The unprofessional mailing system relates to the different biases in the hierarchy of management and the manner in which it affects the tangible workflow (Ver?i?, Ver?i? & Sriramesh, 2012).

The unprofessional mailing system of the organization has affected the work flow of the business as it creates a barrier to the induction of the knowledge of change to the employees completely. The different biases affect the proper functioning of the systems and operations of the business while operating as per the objectives. The unprofessional mailing might often offend the emotions of the employees thereby creating a gap between the management and the employees (Tenzer, Pudelko & Harzing, 2014).
The untimely communication of the management of the organization with the employees has affected the transmission of knowledge of change in the processes. However, setting up new communication channels will be helping the organization in undertaking a balanced communication system, which will help in connecting the hierarchy of the management with the employees (Macnamara & Zerfass, 2012). On the other hand, the organization might make room for the open door policy, which will be encouraging two way communication within the organizational structure (Quirke, 2017). It will be helping the business in identifying the issues that are faced by the employees while conducting their respective job roles. Investing the resources of the organization on implementing the communication channels will be helping the organization in inducing the relevant knowledge to the employees in order to undertake the proper functioning of the organization.
Context
The organization might undertake steps to amend supportive infrastructure where the supervisors of the respective departments and the employees will be working together in order to enhance the quality of work. It will be helping the organization in maintaining the different change needs of the same relating to the proficiency at work and thereby enhance productivity. On the other hand, it will also be helping the organization in monitoring over the activities that are undertaken by the workforce and thereby take steps to enhance the same (Lin, Wu & Yen, 2012). Benchmarking productivity and quality standards of the organization will be helping the firm in providing a proper knowledge of the objectives of the business to bring in changes in the processes that are undertaken by the same.
The unprofessionalism in the mailing system can be resolved through the creation of a format for sending mails. The adherence to the different professional systems of communication will be helping the organization in maintaining the changes in the workforce and the productivity. It will also be helping the organization in negating the different forces that misguides the employees.
Therefore, the identification of the issues relating to the lack of proper internal communications will be helping the organization in directing the different mitigation strategies. On the other hands, the mitigation strategies will be helping the business in maintaining the suitable performance of the workforce through the induction of integration and coordination among the workforce.
